Hello, I am the Kingswell School assistant. What can I help you with?
My son has an EHCP. What support would he actually get?
Our SENDCo meets every family before a place starts, and support is built around the EHCP rather than a fixed offer. The SEND information report sets out what is provided at each stage, and the SENDCo can talk you through it directly. SEND information report Local offer

K Ask Kingswell Detected: English
Hello, I am the Kingswell School assistant. What can I help you with?
Can my daughter start in Year 9 in January, and how do I apply?
Yes, we take in year admissions into Year 9 whenever a place is free. You complete the in year application form and return it to the admissions office, and we aim to reply within ten school days. It is worth registering your interest now, as places in the current year group are limited. In year admissions policy Admissions timeline 2026
I cannot confirm that one. Live place numbers sit with the admissions office rather than in my documents, so I do not want to guess about your daughter's place. Shall I ask them to come back to you? Amelia Rowleya.rowley@example.com Send to the admissions office

This is the whole footprint on your website. It carries your name and colours, and it is the only thing a visitor has to notice.

Illustrative walkthrough, built from a real deployment. Prefer the real thing

Ask the real assistant anything.

This is live, not a recording: a working Veaivo Ask assistant configured for Kingswell School, a fictional UK school. It is not scripted. Try a hard question, or try it in another language.

"How do I apply for a Year 7 place?" "When is the next open morning?" "Quelles sont les dates des vacances?" "What support is there for SEND?" Something it cannot know, to see it decline well

Live and unscripted, ready when you are. Needs an internet connection.

Families already ask AI about your school. Make sure it knows the answer.

General assistants are fluent and confident, and they answer from whatever the web happens to hold about you. Veaivo Ask answers from your own content instead.

A general AI assistant

Answering from the open web
  • Answers come from whatever is indexed publicly, not your current term dates or admissions criteria.
  • Sources drift: old snapshots, last year's policies, sometimes another school entirely.
  • Your handbook, admissions policy and newsletters are invisible to it.
  • The parent has no way to tell whether what they were told is true.

Veaivo Ask

Grounded in your own content
  • Grounded, not guessed. Every answer traces to a document you control, with a citation.
  • You own the data. See exactly what families are asking, in aggregate and in real time.
  • Escalation built in. Anything safeguarding shaped goes to a person, never improvised.
  • Always current. Update a fee page and the assistant reflects it immediately.

Live in about ten working days.

This is not a technical project and nobody on your side needs to be an IT specialist. We do the heavy lifting, your hands on time stays light.

1

Build the knowledge base

We pull together what the assistant needs: term dates, admissions criteria, policies and FAQs, from your site and your documents.

Veaivo: 2 to 3 days
You: 30 minutes
2

Brand and configure

We name it, colour it and tune it. Safeguarding rules, languages and routing are wired up and tested.

Veaivo: 1 to 2 days
You: 15 minutes of brand decisions
3

Check it sounds like you

A handful of colleagues put real questions to it and tell us where an answer should sound more like your school.

Veaivo: tuning alongside you
You: about a week, a few colleagues
4

Go live

One small snippet goes on your site, which we provide and help place. We are on standby for the first 48 hours.

Veaivo: on call
You: 5 minutes
Working around term is normal. If your website team needs to coordinate, we work to your calendar. Many schools go live in the week before an open day.

The same knowledge base, shown to whoever is asking.

It is not three products. It is one assistant trained on your content, and the benefit changes with who lands on your site.

The questions that decide whether a family enquires

Answered instantly and accurately, in their language. It works as well for a state school's in year places as an independent's fee structure.

  • Fees and bursaries, or admission criteria and catchment
  • Entrance requirements, deadlines and in year places
  • What makes your school distinctive
  • Open events and visit booking
  • Every enquiry captured and routed automatically
What a parent might ask

"How do I apply for a Year 7 place for September?"

Applications for Year 7 open in the autumn term and close on 15 January. You can register interest now and I will send the dates, or book onto our open morning on Saturday 5 October to see the school first.

Proof of value, every month.

A live dashboard, a plain English email on the first working day of each month, and a branded PDF, all built around the numbers Heads, Bursars and Operations Directors actually take to a board.

Renewal stops being a sales conversation

The value is already written down, in numbers your finance team recognises.

2

Gaps become a to do list

Low confidence answers point straight at the documents worth updating next.

3

Board ready by default

The monthly PDF carries your branding and needs no editing before it is circulated.

Built to be checked before you commit.

Every policy in one place, and a contractual guarantee about what happens to your data.

No customer data is ever used to train an AI model.

A contractual guarantee, not a policy.

Not from a school, a parent or an alumnus. Not ours, not anyone else's. It is written into every contract we sign, on every plan, with no exception for anonymised data.

The awkward ones, answered.

What happens if it does not know the answer?
It says so, and offers to pass the question to your office rather than inventing something. Every unanswered question is logged, so you can see exactly which document is missing.
What if a child raises a safeguarding concern?
The conversation stops. The assistant gives a fixed, approved response with Childline and Samaritans numbers, and your Designated Safeguarding Lead is emailed within minutes. It never attempts to handle the disclosure itself.
Does this replace our office staff?
No. It absorbs the repetitive questions that arrive at 9pm and at weekends, so your team spends its day on the conversations that need a person.
How much work is this for our web team?
One snippet in your site template, which we provide and help place. Around five minutes, and no ongoing maintenance.
What does it cost?
One annual subscription with unlimited conversations and no per message charges. The first 50 schools on the waiting list keep a 30 percent discount for the life of their plan.

Be among the first schools.

We are finishing the last few product details and building a list of schools who want to be early trial users. The first 50 to join keep a lifetime 30 percent discount.
